This proposed pilot helps creators handling discovery calls and collaborative planning evaluate Fathom against a specific output: an approved project brief. It keeps the first experiment small enough to inspect and gives the owner a clear reason to continue or stop.

1. Freeze the brief

Prepare a consenting internal discovery call with a project scope, a revised deadline, and one idea that is explicitly rejected.

Write the input source, the intended recipient, and the approval condition in one short document. Identify the data you are allowed to use and separate sample material from real customer or production information. Set a review date before activating a larger process.

2. Follow the work through to a result

  • Write a human reference note containing the agreed scope, owner, deadline, and unresolved questions.
  • Compare the AI note against the recording, especially the revised deadline and rejected idea.
  • Turn the approved note into a brief; ask the person responsible for delivery to confirm it.

Keep notes on every correction rather than recording only the time until a first draft appears. If another person receives the result, ask them to inspect it without additional explanation. Their questions often reveal a missing field, assumption, or source reference.

3. Inspect acceptance and failure

Acceptance: The receiving creator can identify the agreed deliverable and deadline without replaying the entire call.

Failure to watch for: The note presents a proposed idea as approved work, or assigns an owner who never accepted the task.

A summary can remove the qualification around a promise. Check the underlying conversation before treating a note as a binding scope or approval.

4. Measure the full task

Record correct decisions, missing qualifications, and minutes spent repairing the brief. Use the current manual process as the baseline and count approved results. Treat setup, recurring review, and repair work separately so the final decision reflects the actual workload.

5. Make the adoption decision

Fathom is a relevant shortlist candidate when calls repeatedly become project briefs. Its fit depends on the accuracy of that handoff, not simply whether a summary arrives quickly.

If the result is useful, name an owner and document the smallest repeatable process. Keep a manual fallback and avoid adding more recipients, integrations, or data sources until the first task is reliable. If the result fails, save the notes so a later evaluation can begin with a clearer question.
